Keeping up to date membersip data is a challenge to smallholder producer organisations.
Many producer organisations keep membership data in MS Excel, which is sub-optimal in comparison to a database. In Excel it is very difficult to register all needed membersip data, including field applications, results of internal audits, etcetera. And even if one succeeds in entering all details, it will be a challenge to find individual members back in a range of thousands of members. But more important, MS Excel allows for making mistakes; keying in the same data twice is no problem, leaving open critical datafields is possible. There are no structures for data-control or data input.

Utilising database structures structures data capture, allows for fewer mistakes, while information retrieval is lots easier.

In collaboration with Kagera Cooperative Union (KCU, Tanzania) and Ankole Coffee Producers Cooperative Union (ACPCU, Uganda), a digital membership database was developed. The database captures all members details, field data (GPS based), field application data and Primary Cooperative Society data. It is a one size fits all model: producer organisations have members, and all members have a name, a surname, a day of birth etcetera. Mmbers are farmers with one or more fields with a certain size.
Our one size fits all model therefore suits the needs of the vast majority of producer organisations irrespective of the the type of product dealt with.

The database was developed for coffee producer organisations, and some specific data fields for coffee production may have to be adapted to cater for other products.
You may trial the online demonstration version of the database. Login and add as many members as you like. The demonstration will be reset regularly, so don't be afraid of messing up.

The database shows,feels and works like an internet site. In fact it ís an internet site, be it a special one. It can be run via the internet, but can also be installed on computers without internet connection.

We can run your database online for you. Safe and secure on our dedicated server. Only accesible to you and your colleages with encrypted password protection systems.

Or get an offline copy that runs at your computer only. With the off line version there is no need for internet access, while you have the same functionality as an online system. You may bring out your computer, and enter the data while in field!
